Hidden Features, Time-Saving Systems, and "Wait, Notion Does WHAT Now?!

Hey there,

First, I'm excited to share a few photos from my quick San Francisco adventure a few weeks ago!

Between law school immersion courses, I squeezed in a photoshoot with one of my favorite Bay Area brand photographers, Krista Marie, before catching the red-eye home. There's something about the San Francisco light that just hits different, don't you think?

Now onto something I discovered last week that I'm still geeking out about, and I just had to share it with you...

Did Notion Secretly Release a Game-Changing Feature?!

If you follow me on Instagram, you might have caught my slightly-too-excited reel about what I think might be a hidden Notion feature rolling out to select users.

I was working in Notion when I noticed something new—an AI meeting note-taker function built directly into the app. Not a third-party integration. Not a browser extension. Built. Right. In.

It transcribed my conversation in real-time and then created a clean, surprisingly accurate summary of everything discussed.

For anyone who:

  • Runs client meetings
  • Needs to capture team conversations
  • Processes ideas by talking out loud (hello, fellow verbal processors!)

…this could be HUGE for your workflow.

The best part? No more toggling between apps or copying and pasting transcripts. Everything stays in your workspace where it belongs.

I’m still investigating whether this is a limited alpha test or a slow rollout to all users. So far, the response to my reel suggests most people don’t have access yet—which makes me wonder if I accidentally stumbled into some kind of early access group!

Have you spotted this feature in your Notion workspace? Drop me a DM and let me know!

Time-Saving Systems That Give You Back Hours Each Week

Speaking of productivity hacks, I also shared a quick system that’s saving me hours each month with client meetings. The problem it solves? That painful 10 minutes you spend setting up EVERY. SINGLE. MEETING note.

My solution:

  • One-time template setup for each client/project
  • Automatic connections to tasks and project databases
  • Pre-filtered views so I never have to search for anything

What feels most satisfying is eliminating that mental friction of “Where did I put that note from our last call?” or “What did we agree to work on next?”

This is exactly what good systems should do—reduce decisions, eliminate friction, and give you back the mental bandwidth for what matters.

Would you find a deeper tutorial on setting this up helpful?

The Hard Truth About Systems That Actually Work

I had this thought this week that I wanted to share with you…

I wish more people knew…

  • You don’t need a new tool. You need to use the ones you already have consistently.
  • Manual onboarding isn’t a rite of passage. It’s a red flag that your backend isn’t scalable yet.
  • Templates aren’t cheating. They’re how high-performing businesses stay consistent.
  • You’re not bad at systems. You’ve just never had one built around your brain.

This is what I see over and over with clients—it’s rarely about having the “right” tool. It’s about using what you have in a way that works for your specific needs and thought processes.

Sometimes we’re so busy looking for the perfect solution that we miss the power of what’s already in front of us.

Just For Fun: Create Your Own Action Figure With AI

Sometimes you need a creative break from all the systems-building, right?

I had way too much fun with this last week and had to share…

I used ChatGPT to create this ridiculous (but kinda awesome?) action figure of myself. Complete with sticky notes, iced coffee, and a neon “Systematic You” sign—all the essentials!

Want to try making your own? Here’s the prompt I used:

🎯 Action Figure Prompt:
Create an image of an action figure in packaging labeled: [Insert Name], [Insert Role or Title]
Use the attached photo as a reference for the face.
I am in my [insert age range], with [describe eye color, expression, and key facial features]. I always wear [type of glasses or accessories]. My hair is [describe length, color, and style]. Use the attached photo as a reference for both face and hair.
The action figure is scaled to standard collectible size (approx. 1:8 scale). I am dressed in a [describe professional or signature outfit—e.g., jeans, tee, blazer, sneakers, etc.]. I'm posed [describe posture or pose, e.g., confidently, hand on hip, etc.], holding [main prop, e.g., MacBook, tablet, microphone].
I'm accompanied by:
- [Mini prop 1]
- [Mini prop 2]
- [Mini prop 3]
- [Mini prop 4]
The cardboard backing should be [main color, e.g., rich teal (#0E8388)] with accent touches of [secondary colors and hex codes, if desired] — a nod to [symbolism or vibe of color choices].
Include an Accessories section with:
- [Tech accessory]
- [Digital tool or platform]
- [Planning/organization tool]
- [Phone with a fun detail, like unread messages]
- [Industry-relevant book or material]
- [Branded or personality-driven item like a neon sign or mug]
The design should be [describe tone: e.g., visually appealing, modern, playful, and empowering] — reflective of a [short description of personality blend, e.g., “Type-A-meets-creative-muse”] who [insert signature strength or impact, e.g., “brings clarity to chaos”].
At the top of the packaging, add: “Ages [insert age range or vibe like ‘30+’, ‘All Ages’, etc.]”
No image of the character on the front of the packaging — the figure is the main focus.

I used ChatGPT 4o and made three small edits in Canva after getting the initial design:

  • Fixed the “Contract Law” text (it got confused on the spelling)
  • Replaced some odd-looking books with a tiny framed photo
  • Added a digital sticker to the planner

It’s a fun way to visualize your professional identity—and might even give you some clarity about what tools and systems really matter to you!

Have you tried any creative AI prompts lately? I’d love to see what you create!

Not sure how to name the chaos you’re in?

I created a 2-minute quiz to help you figure out what’s actually slowing your business down behind the scenes—and what kind of support would actually help.

Whether you're the founder, the behind-the-scenes operator, or somewhere in between, your result will give you a customized action plan (no tech overwhelm, I promise).

🧠 Tech Corner: YouTube’s New AI Music Generator

If you create video content, here’s something to get excited about: YouTube is rolling out an AI tool that generates free background music for videos.

The “Music Assistant” feature is being released to users with access to the Creator Music beta. It lets you describe the vibe you’re looking for, and the AI creates original music to match. No more hunting through music libraries or worrying about licensing fees. I'm looking forward to trying this out with my YouTube videos!

By the way, did you know I have a YouTube channel? You can check it out - and subscribe! - by visiting Systematic YouTube.
